01 · YOUR CREW — one record per person

Two roles, two rates, and the paperwork.

A primary and a secondary role, each with its own day rate, rate basis and overtime multiplier — which is how one person is a DP on one job and an operator on the next, at different money. You pick which when you add them to a call sheet.

Tax and paperworkTax ID type, a Received W-9 toggle, and a drop zone for W-9s, contracts and NDAs. A file with W-9 in the name ticks the box for you.

Certifications with expiryAmber inside sixty days, red when lapsed — and a ticket that lapses before a shoot the person is booked on appears under that job's Production Health.

How they eatSeventeen dietary pills, including how someone eats as well as what they can't. They roll up onto every call sheet's catering summary.

Phone numbers, onceEvery phone field has a country picker. A number is kept once with its country, shown nationally in the app and internationally on every document that leaves.

02 · ASK THEM — let them fill it in

Email a link. They fill in their own record.

Ask crew to fill in takes one email address per line and sends each person their own private link to a one-off web form — no account, no app, no seat. Anything you already hold comes pre-filled, except the rate, which is always asked fresh.

It merges, it never overwritesAnswers fill blanks only. A different phone number, a higher rate or a changed dietary need is parked behind Review, yours against theirs, with Use theirs and Keep mine.

New people arrive as crewSomeone not in your database yet is added as a new freelance crew member, with a CONFIRMED BY THEM line and the date.

Tracked on the pageAn ADDRESS BOOK bar counts N waiting while links are out, then names each person as their answers land.

Clients tooThe same form asks a client for their company, contact and address, so a booking never starts with a blank client card.

03 · BE FOUND — Find crew is public

Be found in the directory.

Every published public profile is in Find crew the moment it goes up, searchable by role, kit and city. A personal page is free on every plan; roles, services, bio, showreel, kit for hire and what you have for sale are all on it.

Studio, production company, freelanceThree chips on your card, and three filters in the directory. Any mix is right — a studio that also takes production work and puts its owner up for hire is all three.

A studio page is a different thing to GoogleLeading with your company puts the page at /company/<handle> and describes it to search engines as a local business — the description that can win a map result. That is on Studio and up.

Enquiries land as a cardA message from your page arrives on Activity with the sender's name, email and message. Reply from there and it goes out with your company footer.

The link preview draws itselfPaste your page into Messages, Slack or LinkedIn and the card is drawn from your name, role, city and services, with your photo. It is rebuilt on every publish.

QUESTIONS — the ones people ask first

Before you try it.

Does a crew member need a seat?

No. Crew and clients never need a seat or an account. They receive links: a call sheet to confirm, a form to fill in, an agreement to sign.

Is my crew database public?

No. The directory lists only the pages people publish themselves. Your address book, rates and paperwork are private to your workspace.

Are crew double-booking checked?

No. Conflict detection covers equipment and studio rooms. The signals for a person being in two places are the certification warnings and the Today page's you are in N places line.

What does the free page include?

Hero and portrait, name and pronouns, location, the studio / production company / freelance badges, links, bio, a what-I-do strip, a contact card with a map, a showreel, kit for hire and anything you have for sale. Personal pages are free on every plan.
